Project Administrator (UK)

Proforest is seeking a highly organised and enthusiastic individual to join our technical operations team to provide administrative support to project managers for their global consultancy projects.

We combine our work for companies with longer-term programmes supported by institutional funders.

 

Position summary

Proforest’s consultancy project portfolio has grown in size and complexity. The position offers an exciting opportunity to join Proforest’s growing Technical Operations team and take a key role in providing support to project managers to ensure all the administrative tasks are dealt with in a timely, accurate and efficient manner.

 

Main responsibilities

The main responsibilities include:

  • Assist project managers with project planning, finance budgeting and income forecast.
  • Co-ordinate with project team members, subcontractors and partners for updates regarding the work in progress and use of budget (including time and expenses)
  • Produce regular project status reports in an agreed format and assist with meeting minutes, issue tracking and follow-up
  • Prepare client invoice guide, draft supplier contracts and produce expense report for reimbursement and organise project documentation
  • Maintain internal project management system including entering, importing and validating data
  • Provide training to new technical staff to ensure better use and understanding of internal systems
  • Assist with documentation of internal system and process
  • Perform other related administrative duties as required

 

Qualifications, experience and skills

Key requirements for this position include the following:

  • A university degree
  • Strong executive administrative skills including the ability to multi-task and pay attention to detail
  • Proven experience in project co-ordination and financial administration
  • Analytical and problem-solving skills
  • Proficiency with MS office (MS Excel and MS PowerPoint, in particular) and data visualisation
  • Excellent written and communication skills in English including presentation skills
  • Highly developed organisational and interpersonal skills as well as the ability to operate in a multi-cultural environment

 

Salary and practical details

  • Salary range: £23,000 - £28,000, based on experience
  • Permanent, full-time position based in Oxford, UK with possibility to work remotely
